FAQ's Updates
Word Count Increase – Program Summary
The Program Summary is being included in the word count so we are increasing the word count to 3,200 words. The Program Summary should be 200 words – but the software will not stop you from adding more words. Please restrict this answer to 200 words.
External Demand Definition
External demand is defined as anything outside the UA system. So the other MAU’s or Statewide and the community campuses are considered internal demand.
Uploading & Sizing Images
You can have up to 7 images in each function’s template.
There is a 2 minute video on how to insert images at the website and a 1.5 minute video on how compress your image size.
Make certain the image size is less than 1000 KB, generally 80 KB should be big enough.
· In the write-up section there is an ‘insert image’ button.
· In the Image Manager – create a new file folder for your function
· Click on the file folder
· Upload the image.
· You should see the image in the write-up box. If you don’t, it didn’t work. If it is very large, resize the image to make it smaller and insert again.
Seeing A PDF Draft of the Template Write-Up
You can see a complete draft copy of your function template – and even save it as a PDF.
There will be a short video about this added to the website today.
· Click on Reporting
· Choose Program Write-Up Report
· Choose Program Status ‘Drafts’
· Select you program
· Click Load Report
· Read it in the browser or select the disk icon to choose a download option (pdf, excel, word, etc)
Seeing the Write-Up in a Form to Easily Edit
You can also look at the write up in a way that makes it easy to edit.
There will be a sort video about this added to the website today.
· Move your mouse over Program Information
· Choose Browse Program Information
· Select Program
· Choose Expand All to see the questions and the answers (this will not show any data charts you created). It is designed to let you quickly read what was written and click in to edit it.
· The Program Summary does not show on this screen.

FAQ’s – answers to questions asked at the last couple of training sessions
Can images be included in the template write-up?The author can include 7 images in the write up. One image must be the function's organization chart - please limit the org chart to those working within the function. The other 6 images must be quantitative in nature (ex: pie chart, trend line, etc).
Please be certain the image includes:
- a clear title and legends, and
- no footnotes (these should be included in the writeup).
The image size must be small, so consider grabbing a screen-shot of the image with your computer's snipping tool.
How do we add/change authors or approvers?
The approver can send an email to supporttaskforce@uaa.alaska.edu requesting a change to either the authors or the approvers.
Will numeric scoring be used?
Yes. For support functions, the evaluators will use numeric scoring based on the rubric.

Who is evaluating the templates?
Members of the Support Task Force will evaluate all of the templates. The committee is made up of support professionals and faculty. They are listed under "Members" in the website.
Did UAA look at any models other than the one developed by Dr. Robert C. Dickeson?
UAA spent the last five years looking at different ways to contain costs strategically—it actually culminated in the Cost of Programs effort, not prioritization. Larry Goldstein visited campus years ago and spent time with all the leadership of the university looking at what prioritization might do. It wasn't until another two years went by that there was a decision to review a more dramatic approach to programmatic change and prioritization seemed to be a good way to go.
UAA looked at a number of models including Responsibility Center Management.
Leadership also looked at what other universities were doing to reduce costs. The model which provided a way to objectively look at programs was prioritization and Dickeson's was the best prioritization model reviewed.
UAA contracted with Mr. Larry Goldstein on the program prioritization process. Mr. Goldstein has completed trainings with Dr. Dickeson for many years, and uses a model based on one described in Dr. Robert Dickeson's Prioritizing Academic Programs and Services.

Template & Rubric Release
The Support Task Force is pleased to announce the release of
the template and scoring rubric for administrate support functions.
As stated in our message on December 6th, you will be able
to begin entering template information when the system goes live on January 17th. Until then, we encourage authors
to download the Microsoft Word version of the template and begin drafting their
responses.
The Support Task Force will hold a series of briefings
between the template publish date and the submission deadline. These briefings
will help the campus understand the process and provide an avenue to ask
questions. The first briefing will be on December
18th from 3:30 pm to 5:00 pm in RH101. Additional briefings will
be held in the months of January, February, and March, with the exact dates to
be announced shortly.

Updated Timeline
The Support Task Force has been hard at work finalizing the
template for administrative support functions. The Prioritization process is
complex and the team has been working diligently to design a template that
allows each support function to effectively tell its story. This complexity is
driven by the unique properties of each support function. We are at a point
where we can share with the campus important dates and next steps regarding the
Prioritization process for the Support Task Force.
The template and scoring rubric for the administrative
support functions will be published on the Chancellor’s Prioritization website
on December 16th.
You will be able to begin entering template information when
the system goes live on January 17th.
We are pleased to announce today that all functions will have in excess of
eight weeks to work on the template questions. Templates will then be due for
submission no later than March 17th. There will be a single deadline for
all support functions.
